Frequently Asked Questions

1) How do I book a room?

Requesting a room booking for Brookes Union spaces is really easy. Just fill in our room booking form and we'll get back to you. If you want to make a regular weekly booking, send us an email or pop in to the office and we can discuss fitting you in.


2) What Technical Support can I get for my society?

We have a wide range of technical support available for different society activities, from shows to comedy nights. Either provide details of your requirements when you make a booking request, or email the Societies Team.


3) Can I have a table in Union Square?

We love having societies in Union Square! Submit a request via our room booking form.


4) Can we hire vehicles?

Societies can hire vehicles with up to 15 seats, as long as the driver is aged 21 or over and has held a full UK issued driving license for more than 2 years. Drivers also need to have passed a 1 hour practical assessment with an observer before they can drive for their society. Societies wanting to hire a vehicle will need to have a budget form detailing the hire and fuel costs approved in the usual way.


5) I'm running an event; do I need to submit a budget?

We ask that all society events that involve expenditure do have a budget. We do this so you can properly work out exactly what you are spending and what you can expect to bring in. We support societies by making sure that everything matches up; making sure that your income projections are realistic, that you haven't missed possible expenditure and that we can get everything paid for well in advance of your event.


6) Where is the SU?

A surprisingly common question! We’re at the heart of the John Henry Brookes Building. To find us from the main entrance, simply walk past the main reception on the first floor and keep going with the library on your right. Go through the doors and you'll find us on the far side of Union Square. If all of that sounds too complicated, just follow this handy map!


7) Where can I find a society?

8) Who can run a society?

Societies are run by committees of students. Any current, enrolled student can run a society. Alumni, part-time or distance learning students can join a society, but cannot be part of the committee.


9) Where can I get help with a budget?

We're more than happy to go through a budget with you. Just pop in to see one of the team or send us an email and we'll be happy to help.


10) Where can I speak to an SU staff member?

Come and make an appointment with a member of the Societies Team or send us an email and we'll be happy to chat.


11) I want to put on a big event, where do I start?

Come and have a chat with us or send us an email! We love to hear your ideas and, if possible, help you make them into reality.


12) A company wants to sponsor our society, is this ok?

Having a sponsorship deal is great and can help to offset the costs associated with running a society. All we ask is that you let us know what the terms of the deal are and provide us with the proposed agreement in writing or email so we can help you see if it's a good deal or not. There are certain companies that you cannot receive sponsorship from. These include letting agents, essay writers, gambling companies or agents and any associated group of the Oxford Union.
